Follows directions and refers all exceptions to supervisor
May be responsible for managing/updating contractors' and business licenses.
Compose and/or edit letters, memos, reports, procedures, etc., as required.
Promote the company safety culture and safety awareness throughout the company, projects, or office.
May be responsible for managing company phone system and corresponding apps, including orders, replacements, assignments, and troubleshooting when necessary.
Prepare conference spaces for scheduled meetings, including ordering and setting up food, drinks, etc. as necessary.
Plan and organize company events, fundraisers, community service opportunities, parties, etc. with assistance from administrative staff.
Maintain office phone directory.
Create and update files of various kinds; i.e., documents, spreadsheets, and databases.
May be responsible for managing login setups, passwords, and password resets for employees.
May be responsible for ordering, tracking, and maintaining office supplies (including branded apparel, gifts, and staff uniforms.
Distribute credit card expense statements to personnel.
Close out kitchen/lunch areas daily and restock as needed.
Assist with meeting presentations and take minutes as needed.
Train staff (new hires and existing) on expense submission and coding.
May be responsible for managing/tracking employee certifications and clearances such as OSHA, lead, asbestos, NDOC, etc.
May be responsible for managing vehicle fleet: orders, maintenance, repairs, recalls, vehicle assignments, Samsara software, registrations, gas cards, etc.
Ensure facilities are organized and orderly.
Maintain digital filing system.
Ensure office equipment is in good working order, including troubleshooting and working with equipment vendors.
