The role works directly with clients to support the rail division's business operations, overseeing the planning, management, and coordination of both daily and long‑term rail‑car projects from quotation through completion.
- Provide overall direction and project administration for daily and long‑term rail car projects.
- Prepare work orders with clear shopping instructions and required regulatory/client forms.
- Manage and schedule incoming client rail car projects and storage facilities.
- Request and compile missing shopping instructions from clients for internal distribution.
- Create and schedule outbound dispositions in Class 1 railroad portals.
- Update client portals with estimates, invoices, dates, regulatory forms, and related information.
- Ensure all documentation meets regulatory and client requirements.
- Create, send, and upload estimates and communicate status to Operations.
- Answer client inquiries regarding estimates, work progress, and completion dates.
- Act as liaison among Operations, account managers, and clients.
- Complete work order packets with proper documentation and pricing according to requirements.
- Maintain effective communication and coordination with Operations, account managers, and clients.
- Explain technical aspects in a way clients can understand.
- Manage work orders in VLS Rail operating system from order to cash.
- Correspond with clients about additional services and provide updated pricing for approval.
- Update pricing and work instructions in the operating system using Operations' information.
- Request and upload required documents from third‑party providers to ensure AAR/FRA compliance.
- Participate in feedback and post‑job evaluation for all client work.
- Adhere to all client and company policies throughout project completion.
- Attend team and company meetings as needed.
- Complete special projects and miscellaneous assignments as required.

Applicants should possess a high‑school diploma or GED, with college education preferred, and at least three years of experience in client relations, project management, or inside sales. Proficiency in Microsoft Word and Excel, familiarity with AAR/FRA or other federal regulations, and strong verbal and written communication skills are required.
The position demands a customer‑service mindset, the ability to interpret regulatory documents, and competence in handling client and agency inquiries. The employee will participate in team meetings, manage special projects, and ensure compliance with all client and company policies.
