Assist with administrative support for compliance checks, S.M.A.R.T actions and general safety project mapping and requirements
General office administrative tasks such as but not limited to Scanning, Data Entry and SharePoint file organising
Assist with the preparation of monthly KPI’s, safety reports and dashboards for internal stakeholders and external regulators where applicable
Prepare and distribute safety communications, reports, and bulletins
Monitor and assist with the reporting of hazards, near misses, and safety observations
Preparation of Purchase order requisitions & quotation collations for consumables as required project wide
Assist in creating Processes, Registers and Template documentation as per the project guidelines and requirements
Liaise with site supervisors and contractors to promote compliance with safety standards
Responsible for liaising ordering and maintaining HSES Assets, and Consumables
Assist the Administration team with Site Inductions and mobilisation requirements for both internal and subcontractor personnel
Assist in conducting site safety audits and inspections with the Health and Safety Manager
Support incident and accident investigations, including documentation and follow-up actions & lodging into the BEAKON System
Take meeting minutes/actions for HSES team meetings and any construction meetings requested
Assist in ensuring all safety signage, PPE Consumables (Excluding Clothing), and site controls are in place and up to date
Maintain and update health and safety documentation, including risk assessments, SWMS, and safety data sheets as applicable to the project

Understanding of construction processes, WHS regulations, and industry documentation requirements

Proficiency in Microsoft Office Suite (Word, Excel, Outlook), project management software or procurement software suits (highly desirable)
Proven experience in site administration or a similar role in the civil construction industry
