The Operations Executive will support day‑to‑day operations and strategy execution for EMEA Debt & Structured Finance, reporting to the Operations Manager. Working in a fast‑paced, team‑oriented setting, the role partners with producers, analysts, and associates to drive the debt team’s deal flow and overall success, requiring adaptability, strong organisational skills, and a balance of tactical execution and strategic initiatives.
Key finance responsibilities include ensuring billing readiness, maintaining Capforce pipeline data, producing regular pipeline reports for Debt Co‑Heads, monitoring KYC and revenue‑recognition documents, closing settled opportunities promptly, and liaising with the billing team to resolve invoicing queries.
- Ensure debt team billing readiness by coordinating with billing and deal teams to activate contracts before deal closing.
- Maintain Capforce pipeline data and collaborate with analysts to progress opportunities.
- Produce regular pipeline reports for Debt Co‑Heads to support monthly flash forecasting.
- Monitor KYC and revenue‑recognition documents, escalating delays to ensure timely revenue recognition.
- Liaise with the billing team to resolve queries related to debt invoicing.
- Act as primary onsite contact for ad‑hoc queries and coordinate with business support assistance.
- Collaborate with offshore admin, billing, travel, and EA teams to complete daily tasks efficiently.
- Host weekly meetings with CMG Admin on expense processes to ensure smooth operation.
- Drive operational improvements by sharing best practices, standardising processes, and promoting tools and training.
- Manage joiner and leaver processes, including IT equipment handling and system access setup (Capforce, Horizon, shared drives).
- Champion AI knowledge sharing to boost team efficiency.
- Support new projects or processes initiated by the team.
- Attend weekly team meetings and monthly Director meetings, taking detailed notes and tracking actions.
- Organise and oversee internal and external team events, handling logistics and coordination.
- Manage event budgets, cost tracking, and ensure invoices are correctly cost‑coded and paid on time.
- Coordinate recruitment discussions and provide support, interfacing with TA and PXP.
- Oversee extensive travel arrangements for Co‑heads, ensuring bookings are entered correctly in diaries.
