Record keeping: Organize and maintain accurate electronic and physical financial records, such as general ledgers, invoices, and expense reports.
Administrative support: Perform other general administrative duties as needed by the accounting department, including prepare (physical) checks to be mailed and file electronic copies into the Paperless system
Accounts receivable: Create and send invoices to clients, record incoming payments, and follow up on outstanding accounts.
Reconciliation: Compare accounting software data with bank statements and other financial records to identify and resolve discrepancies.
Accounts payable: Process and track invoices, ensure proper authorization, and prepare payments for vendors.
This position will be included in the administrative team rotation responsible for covering the front desk/phones in the absence of our Office Administrator
Reporting: Assist in preparing basic financial reports for management or audits.
Filing: Assist with the filing process for new vendor W9 forms
Data entry: Enter financial transactions, including invoices, receipts, and payments, into accounting software or spreadsheets.

Data entry proficiency: Fast and accurate typing skills are essential for handling high volumes of data.
Must be able to successfully pass a pre-employment criminal, driving and drug screen
Attention to detail: A high degree of accuracy and a meticulous eye are critical to ensuring correct financial records.
Proficient computer and software skills and knowledge to include Microsoft Suite (Outlook, Word, Excel, PowerPoint, OneNote); Will be required to learn and work in ADP, BambooHR, Paperless, Sage 300, Procore, Ease and WorkRamp
Strong written and verbal communication skills
Must possess a current and valid state driver’s license and a clean driving record
Confidentiality: Understands the importance of discretion and confidentiality pertaining to finance matters, at all times. Will be required to sign a confidentiality agreement upon hire.
Completed or in pursuit of accredited four (4) year degree in business, finance, accounting, or related discipline desired
Accounting software: Familiarity with accounting software like QuickBooks, SAP, or specific Enterprise Resource Planning (ERP) systems is often required.
Time management: The ability to manage multiple tasks and meet deadlines, particularly during monthly or quarterly closings.
Work experience in accounting/finance is desirable
Communication: Strong written and verbal communication skills for interacting with colleagues, clients, and vendors.
Organizational skills: The ability to manage and organize financial documents efficiently.
Spreadsheet knowledge: Expertise with Microsoft Excel or Google Sheets for data entry, analysis, and reporting.
Office equipment: Ability to use standard office equipment such as printers, scanners, and multi-line phone systems.
