• Oversee the full lifecycle of invoicing, including data verification, invoice generation, and ensuring accuracy and completeness of billing information.
• Lead month-end billing close procedures and reporting.
• Partner with project managers, leadership, and stakeholders to gather billing information and resolve issues efficiently.
• Become subject matter expert for billing within VantagePoint (ERP system), including reporting, project setup, and transactions.
• Oversee Billing Team communications and provide timely guidance and support.
• Conduct routine review of billing data to identify and resolve discrepancies, inconsistencies, and errors.
• Ensure compliance with Westwood's billing policies, procedures, and applicable regulatory standards.
• Assist with Accounts Receivable inquiries and provide resolutions as needed.
• Prepare and guide the lien waiver process as required.
• Supervise Billing staff and ensure quality and accuracy of all billing work.
• Deliver one‑on‑one and group training to new Billers and Project Managers on billing processes and procedures.
• Coordinate and perform invoicing training for newly acquired entities.
• Design and conduct large‑scale trainings for organizational groups as needed.
• Facilitate weekly billing team meetings to align priorities and address challenges.
• Provide expert guidance to the billing team and assist in resolving complex billing issues.
• Oversee team development, mentorship, performance evaluations, growth planning, and personnel decisions.
• Collaborate with IT on billing‑related initiatives to enhance productivity and achieve organizational goals.
• Provide data‑driven insights and foster strong relationships with internal stakeholders, including division leadership, project managers, and finance team members.
• Champion Westwood’s mission, vision, and values, promoting a “One Team” culture.
• Communicates clearly and concisely with all stakeholders, managing conflict calmly under pressure.

Requirements

Westwood Professional Services, Inc. is seeking a dynamic Billing Manager to join the Finance leadership team. The role owns the organization’s billing process, requiring exceptional leadership, attention to detail, strong analytical skills, and cross‑functional collaboration. The Billing Manager will ensure accurate and timely billing, resolve discrepancies, and provide strategic guidance and support to the organization.

• Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

• Able to follow general directions and firm policies, practices, and procedures.
• Experience with Deltek VantagePoint or other Deltek software.
• Strong management background with 3+ years of experience.
• Background in accounting and/or 4+ years of billing experience.
