Prepare and send clinic authorizations for post-accident medical treatment.
Organize and archive documents per company and legal retention policies.
Provide general administrative support to the Workers’ Compensation team as needed.
Send paystubs for modified-duty employees to adjusters/weekly and investigate any missing hours with HR representatives.
Retrieve, redact, and compile employee and workers’ compensation files for legal, audit, or compliance purposes.
Manage all departmental mail — opening, sorting, scanning, and distributing as appropriate.
Manage/Monitor Compliance with Return-to-Work Letters/Documents
Manage department phones, route calls appropriately, and respond to general inquiries.
Maintain professional communication with employees, managers, medical providers, and insurance representatives.
Manage large volume of incoming Workers’ Compensation mailbox emails, ensuring timely responses and organization.
Complete Pre-Injury Wage Statements for all reported incidents.
Maintain accurate records, notes, and updates within the FileVine case management system.
Complete and issue ePassports for post-accident drug and alcohol testing
Prepare and maintain critical weekly and monthly reports for department and senior management review.
Audit documentation and claim files to ensure completeness, accuracy, and compliance with state and company requirements.
Coordinate with HR representatives on return-to-work status(s)
Requirements

Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Excel, Word, Outlook), PowerPoint, and data entry systems.

Strong organizational skills with the ability to manage multiple priorities simultaneously.
Problem-solving and initiative
Time management
Minimum of 2 years in workers’ compensation, insurance claims, HR administration, or a related field preferred.
