Business Area Executive Assistant

Provide high-level administrative support to Business Area Presidents and Controllers, managing calendars, travel, meetings, document preparation, and serving as a central point of contact for internal and external stakeholders.
Streamline administrative processes, identify opportunities for continuous improvement, and proactively implement solutions that enhance efficiency.
Coordinate, schedule, and prepare materials for division and cross-functional meetings; ensure agendas are aligned to priorities and that discussions remain focused and productive.
Serve as a central point of contact for internal and external stakeholders; draft, edit, and distribute executive-level correspondence and presentations.
Timely document preparation in collaboration with management team members.
Capture key decisions, assign action items, and track progress to completion. Ensure accountability and timely updates to leadership.
Provide high-level administrative assistance to the Division President and leadership team, mail inbox management including calendar management, travel coordination, and document preparation.
Liaison with communications team for events, presentations, interviews, investor meetings, and customer engagements.
Handle sensitive information with discretion and maintain a high degree of trustworthiness.

Prior experience in the mining industry or other offshore business environments is preferred.
Proven ability to manage complex calendars, priorities, and projects simultaneously.
Occasional international travel required.
Strong skills in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with collaboration platforms (Teams, SharePoint, or similar).
Proficiency in Spanish or Swedish is considered an asset.
Strong verbal & written communication in English is a must.
Demonstrated ability to think ahead, anticipate needs, and execute with precision.
Excellent written and verbal communication skills.
Minimum of 5+ years of administrative experience supporting senior leaders, preferably in a global or industrial organization.
