What you would be doing

- Prepare and submit expense reports
- Assist employees with system access and troubleshooting
- Manage various annual trucking permits
- Track unit numbers, drivers, maintenance work orders, and inspection schedules using Excel
- Coordinate Safety Fitness Certificate renewals
- Process purchase orders (Traker) and submit to Accounts Payable
- Order parts and supplies for Heavy Duty Technicians using various sources
- Oversee IFTA tax reporting and license renewals
- Maintain and update unit binders and inventory databases for vehicles and equipment
- Assist with troubleshooting and diagnostics manual lookups
- Manage vehicle licensing and renewals
- Schedule and track NDT/CVIP inspections with appropriate suppliers
- Support Truckers Time Entry system and ensure accurate records
- Manage licensing and registration processes for Canadian and U.S. entities
- Make travel arrangements for staff when required
- Order and manage fuel cards, including issue resolution
- Handle staple orders and general office supply needs

- Proficiency in Microsoft Office (Excel, Word) and other relevant software
- High attention to detail and accuracy
- Applicants must have legal authorization to work in Canada with no restrictions

- Effective organizational and time management skills
- Program TAD/ICOM radios as needed
- Familiarity with fleet management systems and regulatory compliance
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to work independently with minimal supervision and manage frequent interruptions
- Completion of Grade 12 diploma or equivalent
- Strong mechanical aptitude
- Extensive experience in fleet maintenance and asset management
- Excellent interpersonal and communication skills, both verbal and written
