Proposals Coordinator

Description

• Prepare and edit proposal materials—including capability statements, CVs, project profiles and methodology narratives—ensuring clarity, consistency and alignment with brand and governance standards.
• Coordinate the end-to-end preparation, development and delivery of high-quality tender and proposal submissions.
• Develop submission schedules, compliance matrices and workback plans to ensure all deliverables are captured, accurate and on time.
• Manage document control, version management and submission workflows, supporting pricing alignment across commercial and technical components.

• Maintain proposal libraries, track lessons learned and support reporting and record-keeping activities to drive continuous improvement and efficiency.
• Collaborate with Pre-Contracts, Commercial, Operations, HSEQ, HR and key SMEs to gather, review and refine content that meets client requirements.

• Ability to meet project-specific requirements, including pre-employment medicals, drug and alcohol screening, and site access where required.
• Proficiency in Microsoft Office, Adobe, and Canva, or similar software tools for document preparation and presentation.
• Collaborative and proactive, confident engaging with internal teams and external stakeholders to achieve high-quality outcomes.
• Excellent written communication and attention to detail, producing clear, professional and client-ready documentation.
• Strong organisational and coordination skills, with the ability to manage multiple priorities and meet tight deadlines.
• Proven experience in proposals, bids or tender coordination, preferably within construction, industrial services, or large-scale resource projects.
