Site Project Specialist II

Description

The Project Coordination Specialist acts as the communication hub for project teams, ensuring all members are informed of status changes. This role coordinates design, planning, management, and monitoring activities, schedules meetings, updates project timelines, and keeps stakeholders aware of deadlines.

• Lead and execute site material handling procedures for assigned projects.
• Receive, inspect, control, and manage all materials and equipment from arrival to hand‑over, reporting any issues or damages.
• Verify deliveries against master shipping lists and ensure compliance with GE shipping, packaging, and storage requirements.
• Implement preservation and storage procedures per OEM specifications, including use of dehumidifiers, heaters, and protective devices.
• Procure local supplies and consumables according to project directives.
• Track material movement from ports/airports to site and manage temporary imports/exports for refurbishment.
• Establish and maintain systems for receipt, storage, and release of materials to erection subcontractors.
• Conduct stock control, identify shortages, and maintain accurate inventory records.
• Perform detailed inspections, document missing or damaged parts with photos and drawings, and communicate updates to the Site Manager.
• Maintain daily logs, containment book, and all required environmental, health, and safety documentation.
• Attend and contribute to site meetings and provide weekly status updates.
• Support project and site managers with work hour tracking, procurement, accommodation, travel, and visa coordination for expatriate staff.
• Ensure compliance with local authority requirements and generate operational reports as needed.
• Process timesheets, manage petty cash, and reconcile site financial transactions.
• Manage office functions: mail routing, visitor reception, filing, billing summaries, and equipment shipping logistics.
• Inventory administrative supplies and reorder via purchase orders.

Requirements

• Be available for travel, holidays, weekends, and overtime to meet field assignments.
• Hold a higher diploma or degree in engineering or related field with 5+ years project management experience.
• Demonstrate strong project coordination, administrative, problem‑solving, and communication skills.
• Exhibit self‑motivation, independence, organization, and a customer‑focused attitude.
