The Project Coordinator supports the Project Manager and project team by tracking milestones, maintaining schedules, and ensuring project goals are met throughout all phases of architecture and engineering work. This role provides administrative support, coordinates communications, manages documentation, and helps schedule and document meetings.
- Track project milestones and project changes and produce updated schedules/documents.
- Provide administrative support to project managers and teams throughout all phases of architecture and engineering projects.
- Assist in the preparation, tracking, and maintenance of project documentation, including contracts, schedules, reports, and meeting minutes.
- Coordinate project communications among internal teams, clients, consultants, and contractors.
- Maintain project records and ensure documentation is properly filed, version-controlled, and accessible.
- Organize, schedule, and attend project meetings, including preparation of agendas, action items, meeting minutes, and distribution of follow‑up materials.
- Track action items and project milestones to support schedule adherence and team accountability.
- Coordinate with Project Managers, clients, subconsultants, and team to complete permitting forms required by jurisdictional authorities.
- Work closely with project teams to ensure deliverables are prepared and submitted according to deadlines.
- Assist with compliance tracking, submittal logs, RFIs, and other project‑related logs and registers.
- Learn and utilize various governmental portals for submittals.

- High school diploma or General Education Degree (GED) is required.
- One or more years of administrative experience in the AEC industry is preferred.
- Notary in the state of business is preferred.
- Computer skills necessary to enter daily timesheet data and use Microsoft Outlook for email correspondence.
- Working knowledge of Microsoft Suite products.
- Strong contract administration skills.
- Exceptional organizational and communication abilities.
- Passion for customer service, eagerness to learn, and problem‑solving skills.

The position offers a base salary ranging from $52,260 to $73,458, with location‑specific bands such as $46,539‑$53,109 for Rogers, AR. Compensation is determined by factors including experience, education, skills, and internal equity, and is benchmarked against market data.
