  • Continuous Improvement: Identify opportunities for process improvements and implement best practices to enhance maintenance operations.
  • Schedule vendor support for repairs and maintenance, minor works and other work requests, tracking to completion.
  • Supports the FM team with contracted vendor scheduling.
  • Maintenance Planning: Develop and implement comprehensive maintenance plans that ensure the reliability and availability of facility equipment and systems.
  • Works closely with the sourcing team to ensure all vendors are ISN complaint, assists in setting up new vendors in JLL’s vendor base
  • Work Order Management: Oversee the creation, tracking, and completion of work orders using computerized maintenance management systems (CMMS).
  • Coordinate Facility Condition Assessments, organize data and deliver related reports.
  • Scheduling: Create and manage detailed schedules for maintenance activities, coordinating with internal teams and external contractors to minimize downtime and disruptions.
  • Compliance: Ensure all maintenance activities comply with relevant regulations, standards, and safety protocols.
  • Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption
  • Creates PO’s for JLL service provider partners, ensures all invoicing is processed and works closely with the JLL finance team on monthly reporting.
  • Documentation: Maintain accurate records of maintenance activities, including work orders, maintenance logs, and equipment history.
  • Manage inception, life cycle and decommissioning of facility assets and system.
  • Resource Allocation: Allocate resources, including personnel, tools, and materials, to ensure maintenance tasks are completed efficiently and effectively.
  • Develops and maintains inventory of materials and parts critical to the facility.

  • Education: Associate’s degree in engineering, facilities management, or a related field or demonstrated equivalent experience.
  • Ability to work collaboratively with cross-functional teams.
  • Experience coordinating corporate events and amenities
  • Experience with KPI tracking and performance measurement
  • Effective communication and interpersonal skills.
  • Experience with building access control systems and security protocols
  • Strong analytical and problem-solving skills.
  • Understanding of finance processes including accruals and invoice processing
  • Background in facility management or operations coordination
  • Excellent organizational and time management abilities.
  • Experience: Minimum of 3 years of experience in facility maintenance planning and scheduling, with a focus on complex systems and equipment.
  • Previous vendor management and procurement experience
  • Previous experience in Life Science or controlled environment facilities
  • Familiarity with Life Science regulatory requirements and compliance
  • Background in inventory management systems
  • Knowledge of emergency response planning and safety protocols
  • Proficiency in CMMS and other maintenance management software.
