Shared Services Administrator

Description

• Dealing with external and internal queries via TEAMS meetings, phone and email
• Reconciling invoices to the correct purchase orders or coding, to ensure prompt payment to the supplier, attaching correct documentation to evidence this activity.
• Resolving complex invoice / credit note queries
• Obtaining relevant approval from Senior Leaders, in line with authority to incur, when required for large value invoices.
• Communicating with relevant suppliers to process invoicing or payment queries
• Processing a high volume of invoices accurately
• Investigating and resolving outstanding creditor items
• Providing extra equipment or assistance For example, we can provide sign language interpreters and support workers where needed. Alternative document formats can be made available.
• Preparing monthly supplier statement reconciliations, following up on all anomalies either with the suppliers or requisitioners
• Matching credit notes to invoices
• Ensuring that all accounts payable activities comply with HMRC regulations relevant financial policies and procedures
• Posting invoices and credit notes against correct purchase order(s) in line with 3-way matching (ensuring VAT and Construction Industry Scheme elements are calculated correctly)

Requirements

• Experience e nsuring that all accounts payable activities comply with relevant financial policies and procedures
• Oracle (or similar ERP system)
• Experience resolving accounts payable queries
• Use of Microsoft Office (e.g. excel, word, outlook)
• Familiar with AP 3-way match processing
