The Service Contract Manager ensures quality of service agreements and meets profitability goals by managing contract data, task checklists, planned maintenance, material procurement, renewals, customer relations, terminations, and supporting information. The manager also provides sales support, acts as a liaison for the service sales team, and follows established processes and guidelines.
- Create electronic agreement folders, preventative maintenance worksheets, oversee material orders, and set up COINS equipment files for new contracts.
- Update agreement folders, PM worksheets, material orders, and COINS equipment files for contract renewals or updates.
- Digitize and shred agreement folders, remove PM worksheets, oversee cancellation of material orders, and notify Accounting for contract cancellations.
- Generate PM batch for the next month and send the PM list to suppliers to procure materials.
- Review and update material changes for planned maintenance work orders and agreement files.
- Generate contract status reports for various department employees.
- Gather analytical data and participate in renewal and escalation processes.
- Track contract renewal rates.
- Assist the sales team with planned agreements, project proposals, and RFP/bid preparations.
- Support the service department with documentation, customer information, and contract verbiage.
- Handle customer requests for contracts, service reports, and track internal lead forms.
- Prompt and professional communication with customers.
- Collaborate effectively with other Design Mechanical, Inc. departments.

- Minimum 10 years of relevant office/administrative experience, preferably in HVAC.
- Proficient in Microsoft Office Suite (Word, Excel, etc.).
- Ability to create or modify digital PDFs using Adobe Acrobat or Bluebeam Revu Extreme.
- Strong work ethic, attention to detail, and communication skills.
- Ability to think strategically and streamline processes.
