Description

The Facilities Coordinator will assist the Facilities Manager with operational activities such as accounting, finance, maintenance, vendor oversight, purchasing of materials, equipment and supplies, occupancy services and help‑desk support. The role also provides administrative assistance to the team and manages large‑building operations.

• Coordinate workplace events and programs to boost employee engagement.
• Manage employee feedback systems and satisfaction surveys, implementing improvements.
• Serve as primary contact for employee workplace queries and resolve issues promptly.
• Oversee daily workplace services including reception, mail handling, catering, and visitor management.
• Coordinate meeting room bookings, equipment reservations, and workspace assignments.
• Manage relationships with cleaning, security, catering, and maintenance vendors.
• Monitor space utilization and occupancy patterns; maintain floor plans and seating charts.
• Coordinate office moves, desk assignments, and workspace reconfigurations.
• Ensure compliance with health, safety, and accessibility standards; coordinate emergency procedures and safety training.
• Maintain workplace amenities such as kitchens, break areas, and wellness facilities.
• Coordinate workplace technology needs, audio‑visual equipment, and conferencing systems; liaise with IT support.
• Manage equipment inventory, repairs, and replacements.
• Build and maintain external vendor relationships; ensure contract compliance and service levels.
• Collaborate with facilities, HR, and internal teams to align workplace initiatives with organizational goals.
• Prepare regular reports on workplace metrics, service performance, and employee satisfaction.
• Plan and execute workplace events, social gatherings, wellness programs, and corporate functions.
• Support onboarding by ensuring smooth workplace integration for new employees.
