As the Events and Meeting Coordinator you will deliver a unified “One Ledcor” experience for meetings and events of all sizes across the Ledcor Group. You will work closely with the operating group sponsor to understand requirements and provide optimal service. The role includes maintaining a current calendar of events, leveraging preferred partners, and reporting on travel and event spend.
You will lead the planning and execution of corporate gatherings, acting as the main liaison between internal teams, venues, suppliers, and vendors. Collaboration with Communications, HR, and IT will ensure timely production of promotional and multimedia materials. You will also manage event budgets, critical paths, and provide onsite support from setup through teardown.

- Develop and manage RFPs, source venues, and evaluate proposals and contracts.
- Coordinate hotel accommodations, including room blocks, traveler communications, and rooming lists.
- Oversee event logistics such as décor, food & beverage, audiovisual, rentals, security, entertainment, and special requirements.
- Collaborate with Communications, HR, and IT to produce digital, promotional, and multimedia materials on schedule.
- Create event critical paths, manage budgets, and provide onsite support for setup, execution, teardown, staffing, logistics, and shipping.
- Partner with executive sponsors or regional coordinators to schedule agendas, speakers, presentations, and detailed event programs.
- Arrange attendee transportation (flights and ground) and coordinate meals and breaks throughout events.
- Maintain vendor databases, pricing matrices, event calendars, and travel administration records; drive process improvements.
- Perform expense coding and work with Accounts Payable to reconcile and ensure timely payment of invoices.

The position requires a secondary education or travel‑related certification plus at least four years of experience in corporate meetings and events, including two years focused on hotel meetings and RFPs. Strong vendor management, negotiation, and customer‑service abilities are essential, as are excellent written and verbal communication skills. Candidates must demonstrate solid time‑management, attention to detail, problem‑solving, and high proficiency in Microsoft Office.

- Minimum 4 years experience in meetings and events, with at least 2 years focused on hotel meetings, RFPs, and contracts.
- Strong vendor management, negotiation, and customer service skills.
- Excellent interpersonal, written, and verbal communication abilities across diverse stakeholder groups.
- Proven ability to manage competing priorities with strong time‑management, organization, and attention to detail.
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Benefits
This is a 20‑month fixed‑term contract offering a hybrid work model with occasional travel and a base salary range of $53,200 to $73,150. Health, dental and vacation benefits are included as part of a competitive total‑rewards package. The role is based in Vancouver, BC.
