Document Controller

Description

• Ensuring that the current version of a document is available at the point of use
• Ensuring that all documents received or sent by the project are logged according to the agreed document management processes
• Produces a report and schedule in accordance with the Document Handover Report
• Maintain standard documents (CVs, competency matrices, etc)
• Assist the Engineering Manager in organising/developing databases
• Implement, maintain, and administrate the EDMS as part of the project CDE
• Maintaining high-quality standards for internal and external communication and information management within a project
• Timely production and distribution of drawings/designs
• Collecting and managing all project documentation and its metadata
• Periodically review IHS
• Print and organise hard copies of drawings as required
• Maintain up-to-date master office copies and drawing logs
• Assist in the review process
• Ensuring that documentation continues to be correctly collated, categorised, registered and stored and that records are created and retained
• Prepare packs for review by the Engineering Manager
• To facilitate the training of the project EDMS for the project team
• Monitor submission dates and report compliance
• Managing the distribution of documents between the project and its stakeholders in accordance with agreed workflows and the RACI matrix. (To be defined)
• Maintain records of revisions and the status of drawings
• Provide standards when requested by the site
• Arrange site audits to check compliance
• Efficient maintenance and monitoring of the design progress matrix
• Log all design information into and out of the office
• Distribute completed designs to clients and sites
• Integrate with the Project Controls Team (PCT) about Knowledge Management (See Project Controls Execution Plan (PCEP)

Requirements

• O&M manuals
• Attention to detail
• Ability to work with minimal supervision
• Extensive Administration experience
• Ability to work to a deadline
• Good organisational and communication skills
• Previous experience working in a similar role, in a busy site/office environment
• Signs (design and fabrication)
• Driving licence
• Effective organisation of systems
• Experience in Document Control Management using EDMS systems such as eB, ProjectWise, and SharePoint
• Aconex Software Experience
• Leadership & management training and coaching
