Ensure compliance with all regulatory requirements and company policies including DOT(Driver Logs, Inspections, Medical ID Card) and certificates of insurance.
Create and manage purchase orders, ensuring accuracy and timeliness.
Administrative function supporting contractor's exempt purchase certificates, permits and drawings, updating safety training certification documentation and warranty registrations.
Assume project responsibility for all initiation, pre-qualification documentation, job costing and Project Manager approvals.
Update Subcontractor Logs and requesting hold harmless and Certificates of Insurance.
Prepare and present regular reports on purchasing activities and vendor performance.
Partner with Shop Manager to facilitate delivery of commercial material to project sites.
Reconciliation of packing slips, invoicing approvals, and assisting with closing out books.
Reviewing contracts to ensure suppliers meet quality, delivery, and service requirements
Purchase order maintenance and follow-up with vendors regarding lead times, short shipments, incorrect product shipment, damaged products, credits, and requesting replacements for missing items.

Knowledge of HVAC products, systems, and market trends is a plus
Experience using NetSuite is preferred.
Minimum of 2 years of experience in purchasing or supply chain management, preferably in HVAC or a related industry.
Excellent communication and interpersonal abilities.
Strong analytical and problem-solving skills.
Proficiency in procurement software and Microsoft Office Suite; experience with QuickBooks, Dropbox, and Adobe required.
Able to work independently with minimal supervision.
