The Role

Overview

Assist legal team with admin, filings, compliance, and support tasks.

Tasks

-Serve as a point of contact for internal employees and external clients. -Provide high-level administrative support to the legal team, including scheduling meetings, arranging travel, and preparing expense reports. -Manage day-to-day workflow for the department, ensuring timely completion of tasks. -Take personal responsibility for fostering a green workplace through sustainable practices. -Draft, edit, and proofread correspondence, agreements, and legal documents. -Process and track invoices for legal services. -Assist with administration of the employee stock program, including communications and preparation of plan documents. -Provide backup support for procuring Certificates of Insurance. -Track and maintain professional licenses and memberships for team members, including continuing legal education requirements and bar approvals. -Organize and maintain legal files and records in compliance with retention policies. -Prepare and submit corporate filings, annual reports, professional registrations, and registered agent changes.

What You Bring

-Proven ability to multi-task and prioritize multiple assignments effectively. -Advanced knowledge of administrative practices and legal procedures. -Excellent interpersonal skills with the ability to interact across all levels of staff. -3–5 years of administrative experience, with at least 2 years in a legal environment. -Ability to thrive in a fast-paced environment while maintaining flexibility. -Highly organized and detail-oriented. -Ability to learn and master new information technology systems. -Ability to work independently and collaboratively in both in-person and remote settings. -High School Diploma required; Associate degree preferred. -Proficiency in MS Office (Excel, Word, PowerPoint, Outlook). -Strong commitment to confidentiality and business ethics. -Strong written and verbal communication skills.
