The role works closely with the office manager to ensure the office runs smoothly while handling a range of administrative tasks for the project team.
- Provide informal guidance to junior staff.
- Support diary management for the project director/manager alongside the office manager.
- Ensure team members follow administration processes.
- Assist in setting up the project office, including IT equipment and furniture.
- Create and maintain electronic and hard‑copy filing systems.
- Keep staff home page (InfoMace) up‑to‑date.
- Arrange project email addresses, manage inboxes and process correspondence per Mace standards.
- Archive project documentation for client handover.
- Place orders with Mace suppliers and manage petty cash reconciliations.
- Book meeting rooms, organise refreshments for client/external meetings, and coordinate site visits.
- Maintain training records, arrange tests/training, and update the project directory in Conject.
- Contribute to net‑zero carbon goals by identifying and managing carbon emissions during delivery.
