The Assistant Project Lead – Planning, Documentation & Project Controls role sits within the Project & Development Services (PDS) – Project Management Consultancy team, reporting to the Project Lead or Senior Project Lead. Based on‑site in Mumbai, the position serves as a project controls specialist responsible for comprehensive planning, schedule management, and documentation control, ensuring adherence to time, cost, quality, scope, safety and compliance standards per JLL PDS guidelines.
Key responsibilities include developing and maintaining integrated master schedules, establishing project control systems, managing documentation throughout the project lifecycle, and preparing daily, weekly and monthly progress reports. The role also facilitates planning and design coordination meetings, supports procurement scheduling and delay analysis, integrates quality and HSE milestones, and maintains risk registers and closeout documentation.
- Create and maintain integrated Master Project Schedules using MS Project, including baseline schedules with WBS and activity relationships.
- Generate weekly micro‑schedules for contractors, track progress, analyze deviations, and develop recovery plans.
- Establish and manage project control systems, monitoring time, cost, quality, risk, and HSE metrics and maintaining Earned Value Management parameters.
- Control project documentation by setting up a Document Management System, maintaining logs for RFIs, submittals, drawings, MOMs, NCRs, and ensuring audit readiness.
- Prepare daily, weekly and monthly progress reports, action item trackers, and client presentation decks.
- Facilitate planning, design coordination and contractor review meetings, acting as the central communication point for schedule and document matters.
- Assist in procurement scheduling, review contractor schedules for feasibility, and support delay analysis and EoT evaluations.
- Integrate QMS and HSE milestones into schedules, manage checklists, and ensure closure of NCRs and CARs.
- Maintain a comprehensive risk register, conduct risk assessments, and prepare closeout documentation including as‑built drawings and O&M manuals.

Candidates should hold a B.Tech/B.E. in Civil Engineering (NICMAR background preferred) and have 2–5 years of experience in project planning, documentation control or project controls, preferably on industrial, warehousing or infrastructure projects. Advanced proficiency in Primavera P6/MS Project, strong knowledge of CPM, WBS creation, baseline management, Earned Value Management, document management tools and contracting models is required. Core competencies include excellent communication, detail‑orientation, problem‑solving mindset and the ability to manage multiple stakeholders effectively.
- Hold a B.Tech/B.E. in Civil Engineering (NICMAR preferred) with 2–5 years experience in project planning, documentation control or project controls.
- Demonstrate advanced proficiency in Primavera P6/MS Project, strong knowledge of CPM, WBS creation, baseline management and Earned Value Management.
