Project Coordinator

Description

You will have dedicated area sales managers and field project managers to support, and will be part of a team of Project Coordinators located at the US headquarters of KOMPAN in Austin, TX.

For more than 50 years, KOMPAN has researched, designed, and built innovative and imaginative commercial playground equipment and outdoor fitness sites that captivate all ages and abilities.

• Coordinate deliveries of third-party products to North American customers
• Complete pre-legal contract reviews, auditing for specific criteria and the scope of work of the project. Ensure all necessary documentation is completed before contract signing.
• Auditing orders that have been sold; verifying that the order accurately represents what the customer wants
• Communicate with customers the timeline of their orders
• Ensure timely, accurate, and complete data in the project management software
• Confirming with Solutions Partners that their orders are accurate taking into account the surfacing for footer verification
• Process an average of 30- 40 orders a week
• Order preparation
• Collaborate with a team of designated sales professionals, third-party suppliers, and internal colleagues such as pre-sales coordinators and finance
• Generate closeout documents and closeout email for each project
• Once fully onboarded, assisting with future training for new hires to the team and peers from other departments that are worked with directly
• Coordinate with customers, sales representatives, third-party vendors, and logistics to ensure deliveries meet customer expectations
• Confirm vendor invoices are accurate and prepare purchase order for finance to invoice
• Act as a primary contact for our customers
• Submit purchase orders for equipment considering requested timeline from customer
• Process change orders and adjust documentation to ensure financial accuracy and tracking of entire order
• Onboarding third party equipment vendors and surfacing suppliers
• Provide insight to sales representatives and pre-sales coordinators when they are working on the sales quote

Requirements

• Understanding of construction is a plus
• High School Diploma/GED required; advanced education preferred
• Microsoft Excel experience
• 3 or more years of professional experience
• Excellent time management, project management, and organizational skills
• Experienced in pricing and calculating margins is a plus
• A supportive team player with excellent interpersonal and communication skills
• Ability to prioritize projects, and independently manage workload
