The role’s front‑office duties involve answering all incoming calls in a professional, caring manner, gathering required insurance and homeowner information for new jobs, entering those jobs accurately into the CRM, scheduling estimators for inspections, taking detailed messages, routing them correctly, and following up to ensure questions are answered while providing excellent customer service during stressful situations.
Bookkeeping responsibilities include managing all phases of job costing, maintaining accurate financial and job records, using QuickBooks Online for daily tasks, preparing and processing vendor and subcontractor payments, reconciling bank accounts, preparing deposits, tracking work‑in‑progress and job‑cost reports, reviewing and correcting cost variances, coordinating records with the CPA, preparing monthly sales reports for ownership, maintaining organized digital and paper filing systems, and assisting with collections and billing inquiries.
The ideal candidate has experience with QuickBooks Online, strong attention to detail and accuracy, the ability to multitask and prioritize in a fast‑paced environment, excellent phone and communication skills, comfort working with both numbers and people, and a professional, dependable, self‑motivated, customer‑focused mindset.
