What you would be doing

  • Schedule annual and new-hire physicals, and other required health screenings.
  • Coordinate with training providers to arrange employee participation in mandatory or optional courses.
  • Schedule and track renewal dates for required safety and regulatory training certifications.
  • Adjust schedules as needed to project changes, absences, or priorities.
  • Book travel arrangements (flights, hotels, transportation) for field employees working on remote or out-of-town projects.
  • Maintain & track records of employee training, certifications, and licenses, ensuring compliance with company and regulatory requirements.
  • Coordinate with regulatory agencies for notification of new projects.
  • Serve as a key point of contact between the field and office teams for operational updates and coordination.
  • Coordinate with project managers and supervisors to align workforce availability with project timelines and needs.
  • Assist with onboarding of new field employees, including collecting required documents and ensuring training compliance prior to job assignment.
  • Develop and maintain the weekly field employee schedule, ensuring appropriate staffing levels for ongoing and upcoming projects.
  • Support the Director of Operations with reporting, documentation, and other administrative tasks as needed.

  • Associate’s or Bachelor’s degree in Business Administration, Construction Management, or related field; equivalent experience considered.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills, with the ability to handle multiple priorities in a fast-paced environment.
  • Must be able to lift up to 10 pounds at times.
  • 2+ years of experience in operations coordination, project administration, or scheduling within the construction industry preferred.
  • Proficiency with Microsoft Office Suite.
