The manager will coordinate, assign, and monitor schedules and activities of project administration staff, adjust staffing requirements to maintain balanced workloads, and act as an office‑wide resource for standard project procedures. They will develop consistent, efficient administrative methods and collaborate with other leaders to improve quality and efficiency.
Support for project Quality Management (QM) includes collaborating with the QM team to develop and maintain processes, systems, and tools, tracking and updating QM documentation, and providing training and resources on QM practices, tools, and methodologies.
ZGF is seeking a Project Administrative Manager who is energized by growing people and elevating project excellence to join the team in Portland. The ideal candidate is self‑motivated, possesses a strong work ethic, excellent communication skills, and a proven record as a reliable administrator to lead and mentor a talented cohort of Project Administrators.
Candidates must have extensive experience in administrative support and project administration, at least three years in the architecture field, and a comprehensive understanding of project life cycles and associated administrative needs. Strong problem‑solving, critical‑thinking, leadership, and time, task, and resource‑management skills are essential.
Proficiency is required in Microsoft Office Suite (Word, Excel, Outlook, Teams), Newforma, BlueBeam, Deltek Vision, and AIA Contract Documents; InDesign is a plus. Knowledge of architectural/engineering terminology, excellent communication, collaboration, and the ability to maintain high confidentiality are also required.
ZGF values collaboration and flexibility; employees work in‑office Monday through Thursday with Friday as a flexible work‑location day, and additional in‑person days may be needed. The base salary ranges from $90,000 to $115,000 annually, and the benefits package includes medical, dental and vision coverage with employer contributions, HSA, 401k match, four weeks of PTO, paid holidays, and parental/family leave.
