Reporting to the Site Leader and Office Manager, the Administrative Assistant serves as the first point of contact for anyone entering Park Place Home. This role requires a positive, outgoing presence to welcome residents, families, visitors, and employees, and to act as a resource for all stakeholders while upholding the organization’s culture of safety.
The position entails supporting resident admission and discharge processes, maintaining accurate resident and tenant statistics, coordinating quality‑improvement initiatives, and facilitating orientation and training programs. It also includes attending various meetings, taking minutes, liaising with care staff, staying current on policies and legislation, and maintaining strict confidentiality.
Additional responsibilities involve assisting department managers with employee onboarding and scheduling, ordering supplies, handling reception duties when needed, managing phone calls and inquiries, performing clerical tasks, overseeing shipping and receiving, preparing monthly pre‑authorized payment slips, and managing financial transactions such as reconciling Comfort and Petty Cash accounts and preparing cheques for the Site Leader.
Candidates must hold a certification in health‑care office management and have at least three years of administrative experience, preferably in a health‑care setting. Proficiency with scheduling software, Microsoft Office 365, and SharePoint (as an asset) is required.
Key skills include strong verbal and written English communication, conflict‑resolution abilities, the capacity to build cooperative relationships with staff, clients, and families, attention to detail, strong organizational and multitasking abilities, and the physical capability to perform duties such as lifting up to 30 lb and managing a fast‑paced work environment.
