Effectively and regularly communicate with the Property Manager regarding ongoing projects and activities at the property performed by building staff, tenants, and third-party contractors.
Maintain all necessary files and certifications, both electronic and hard, to RXR standards including Certificates of Insurance. Monitor and respond to emails, phone calls and texts after business hours.
Assist in preparation of the Annual Budget, Capital Budget, and Monthly Financial and Asset Reports as well as completing AR Reports and purchase orders.
Provide formal supervision to individual employees within a work unit and/or group, using sound judgement to diligently respond to and resolve problems in a timely manner, escalating issues when necessary.
Engender superior employee/labor relations while ensuring property personnel and trades are compliant with Building Rules and Regulations, City codes and ordinances, labor regulations and collective bargaining agreements.
Direct and supervise staff as instructed by the Property Manager, working to identify training needs, track performance, coach, and mentor direct reports.
Assist the Property Manager in the creation and distribution of requests for proposals, service agreements, and purchase orders in accordance with established RXR policies and procedures.
Respond to tenant needs, ensuring administrative and building technical staff promptly resolve problems. Analyze tenant requests and assess for systematic issues and opportunities for improvement.
Review and recommend approvals for issuance of purchase orders and maintain accurate tracking and payment of vendor invoices.
Establish superior tenant relations, engagement, satisfaction, and retention by maintaining a high-level of involvement with tenants through first class customer service, frequent interaction and building events.
Coordinate and attend project meetings and report back to the organization.
Perform regular tours of the building to ensure proper maintenance, safety, integrity of the building, and fulfillment of staff, contractor, vendor and tenant responsibilities. Including executing routine property inspections and maintenance programs.
Ensure that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards. Work closely with engineers to manage and evaluate contractors’ performance and adherence to the terms of each agreement.
Oversee the daily operations and maintenance of the building; ensuring that they are run in accordance with RXR’s standards and processes as well as remain in compliance with all codes, laws, and environmental concerns.

Two to three years of progressively responsible related experience in a commercial property, tenant management or hospitality setting; or any combination of education, training and experience, which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
A minimum of one (1) year as an Assistant Property Manager of a Class A high-rise commercial office property.
Project Management: Project management, logistics, vendor management, VIP/Tour preparation, etc. Effective at providing direction on projects from start to finish while clearly communicating goals and timelines: 1) establishes clear timelines; 2) requires accountability on deadlines ; and 3) meets with staff regularly to answer questions and provide direction.
Expert understanding of the breadth and depth of infrastructure and operations systems of commercial properties (HVAC, Plumbing, Electrical, Telco, Roofing, etc.) and pertinent NYC Local Laws.
Expert understanding of preventative maintenance programs, inspections, local law requirements, code compliance, etc.
Financials: Ability to develop accurate budgets and monthly reporting for individual properties. Think like an owner when operating within budgetary guidelines.
Must be able to climb several flights of stairs.
Must be able to walk for an extended period of time.
Operations: Understanding and enforcement of policies and procedures. Understanding of Infrastructure and Operations Systems of properties. Vendor contract management.
Problem Solver: Navigates complex, and potentially contradictory, information to effectively assess issues and solve problems. Asks the right questions to analyze situations.
Bachelor’s level degree in Business or related field.
