Mailroom Executive

Description

The Mail Room Executive is responsible for managing all incoming and outgoing mail operations, ensuring efficient and accurate distribution of correspondence, packages, and documents throughout the organization. This role requires attention to detail, organizational skills, and the ability to maintain confidentiality while handling sensitive materials.

Key responsibilities include receiving, sorting and distributing incoming mail and packages, processing outgoing mail, maintaining records of registered and certified mail, operating mail processing equipment, managing mail room inventory, coordinating with reception and security, handling confidential documents, supporting administrative functions, and maintaining a clean, compliant mail room.

• Receive, sort, and distribute incoming mail, packages, and courier deliveries.
• Process outgoing mail, including weighing, applying postage, and coordinating with carriers.
• Maintain records for registered, certified, and signature‑required deliveries.
• Operate postage meters, sorting machines, and package scales.
• Manage mail room inventory of envelopes, packaging, and postage supplies.
• Coordinate with reception and security for package acceptance and visitor mail.
• Handle confidential documents in accordance with privacy policies.
• Perform basic clerical tasks such as photocopying and document preparation.
• Ensure mail room cleanliness and compliance with postal regulations.

Required qualifications: high school diploma or equivalent; 1‑2 years of experience in mail room operations or a similar administrative role is preferred. Candidates must demonstrate strong organizational skills, the physical ability to lift up to 50 lb and stand for extended periods, basic computer proficiency, and excellent attention to detail.

Preferred qualifications: an associate degree or relevant certification in office administration or logistics, experience with postage meter systems, knowledge of postal regulations and shipping procedures, and prior experience in a corporate or commercial real‑estate environment.
