In this role, the coordinator supports service managers, ensures operational efficiency, monitors performance against client expectations, and acts as a liaison between customers and internal teams to keep projects on schedule and within budget.
- Ensure safety compliance and promote safe work practices.
- Assist Service Managers with daily operational coordination.
- Monitor and control business operations to meet client expectations and company goals.
- Liaise between customers and management to facilitate smooth delivery.
- Coordinate project tasks to stay within budget and timelines.
- Maintain compliance with company standards and procedures.
- Build and sustain strong customer relationships through regular communication.
- Lead internal project meetings, document minutes, and manage external meetings.
- Resolve high‑priority project issues promptly.
- Evaluate operational performance and develop improvement plans.
- Provide guidance to internal teams to achieve performance targets.
- Identify and address operational process problems quickly.
- Follow SOPs and maintain clear operations documentation.
- Manage project filing system, cost codes, and vendor invoicing.
- Prepare and track extra work orders, subcontracts, and purchase orders.
- Notify subcontractors of change orders and follow up on them.
- Assist with monthly job profitability reviews and meet profitability goals.
- Track CMMS work orders, approve/reject for invoicing, and create invoices for PM approval.

- Adhere to company policies and corporate procedures manual.
- Maintain current, standardized job‑site files.
- Produce timely, accurate extra work orders, subcontracts, purchase orders, and expediting status.

Candidates must have at least two years of experience managing contracts and change orders, a high school diploma or GED, basic ERP knowledge, and strong independent judgment, collaboration, and communication abilities.
- 2+ years experience in contracts and change order management.
- High School Diploma or GED.
- Basic knowledge of ERP systems.
- Ability to use independent judgment and be self‑starting.
- Strong collaboration and communication skills.
- Experience in a diverse, multi‑disciplinary employee‑owned environment.
