Liaise with all local schools to determine school holiday periods in advance of the commencement of work activities.
Organizing site induction and dealing with queries regarding induction status, maintaining induction register.
Receive and pass HSQE documentation from sub-contractors to the relevant staff member, and filing the referenced sub-contractor documentation, once they have reviewed and approved the documentation.
Meet with key stakeholders to address their concerns.
Collating reports, maintain and track third party complaints,
Co-ordinate training register and all training requirement for the site team including contractors reporting directly to Coffey on site.
Building relationships with residents, clients, local businesses and community groups.
Filing of statutory and internal forms completed by Site Staff and Site Supervisors in the execution of their roles, and uploading the aforementioned documents to Sharepoint.
Ensure all stakeholders are kept informed of progress and key issues.
Regular review and maintenance of stock of Personal Protective Equipment, in conjunction with the Site Team.
Provide administrative support (contract related) on site and compile information for weekly/monthly reports.
Attend any public forums and open days for the project.
Ensure project manager is kept informed of all complaints and compliments.
Full responsibility for the security and maintenance of stores including making orders when necessary.
Supporting the Safety Personnel in ensuring adherence to and implementation of the Safety Management Systems including:
Meet the community during normal working hours and at evenings and weekends, unless other arrangements are agreed with the Employer’s Representative.
Attend to site reception and receiving/directing visitors to site.
Organising/attending meetings to discuss issues related to the activities of Coffey with Cork City Council and members of the community effected as required.
Interfacing between the project site teams and the general public.
Liaising with HR/training Co-Ordinator to advise of changing training requirements.
Printing, preparation of blank daily/weekly forms for use by Site Staff and Site Supervisors.
Produce reports and attend weekly meetings.
Ensuring relevant HSQE Circulars (TBT/Monthly Briefings) are posted in Site Office, if not already done so by Site Staff.
Creating and circulating public newsletters/bulletins, maintaining social media presence all form part of the role.
Produce reports relating to customer complaints and relevant KPI data.
Compile / filing of construction quality documentation (inspection and testing documentation).
Produce stakeholder management plan.
Manage records (log) of all meetings and communications with the community and any other relevant stakeholders.
Compile / filing of equipment / material delivery dockets/documents for O&M manuals, issue purchase orders as directed by site team, and process all requisition orders.
Construction documentation (drawings / specifications) control, issue internally and to client.
Signing for materials and plant equipment delivered to the site.

Full Clean Irish/European Driving License.
Minimum of 2 years’ experience in planning, execution and administration in a construction site office environment or similar.
Excellent organisational skills.
Experience of Community Liaison activities would be a distinct advantage.
Excellent computer skills.
The ability to multi task as may need to work across multiple projects in the region.
