  • Track customer payments, deposits, and monthly statements with precision. Collect, organize, and process branch bills and purchase orders.
  • Manage accounts payable, invoicing, accounts receivable, and credit applications.
  • Assist with daily dispatching, coordinating field technicians, schedules, and work order priorities.
  • Review, code, and reconcile credit card receipts accurately and on time.
  • Create, assign, and monitor work orders in Fieldpoint or other dispatching software to keep field operations running smoothly.
  • Serve as the first point of contact for incoming calls, delivering professional and efficient support.
  • Provide administrative support to managers and field teams to ensure projects and service calls stay on schedule.
  • Maintain and order office and field supplies as needed.

  • Excellent communication and interpersonal skills for working with customers, vendors, and coworkers.
  • Familiarity with dispatching software (e.g., Fieldpoint, ServiceTitan, or similar systems) is a major plus.
  • Exceptional organization, accuracy, and multitasking skills.
  • A proactive, problem-solving mindset with the ability to anticipate needs and resolve issues before they escalate.
  • High school diploma or equivalent (some college or business coursework preferred).
  • Ability to pass pre-employment drug-screening and background check. If the position is classified as safety-sensitive, it requires the applicant to pass a comprehensive drug test, including screening for marijuana, as a condition of employment.
  • 1–3 years of administrative, AP, or office support experience—construction, service, or petroleum industry background strongly preferred.
  • Proficiency in Google Docs, Sheets, and Drive, with the ability to quickly learn new software.
  • A valid driver's license with a clean driving record over the past 5 years required.
  • Experience with dispatching or scheduling field teams in service or construction environments.
  • Experience with NetSuite or other ERP/accounting platforms preferred.
