Production Assistant

Description

• Help prepare job folders, permits, work orders, and closeout documentation
• Relay accurate information between departments
• Maintain organized digital and physical job files
• Answer production-related calls and emails professionally
• Help maintain compliance with company policies and jobsite requirements
• Assist with tracking required documentation including permits and inspections
• Assist with entering data into internal systems
• Assist Production Managers and Project Managers with daily job coordination
• Help resolve material shortages or delivery issues
• Verify material quantities against job requirements
• Support safety initiatives by ensuring required forms and checklists are completed
• Assist with material ordering, tracking, and delivery coordination
• Communicate with suppliers and vendors as directed
• Support scheduling of crews, deliveries, inspections, and subcontractors
• Track job progress and assist with updating project statuses
• Escalate issues to appropriate leadership when necessary
• Serve as a point of contact between office staff, field crews, and vendors as needed
• Support production reporting and internal audits
• Collect and organize photos, invoices, delivery tickets, and inspection reports

Requirements

• Professional demeanor and strong work ethic
• Construction, roofing, or production support experience preferred
• Proficient in Microsoft Office (Outlook, Excel, Word)
• Ability to sit, stand, and work at a computer for extended periods
• Strong organizational and time-management skills
• Strong communication skills
• Occasional lifting of up to 25 lbs
• Exposure to active construction environments when visiting job sites
• Primarily office-based with occasional jobsite visits
• Attention to detail and ability to manage multiple priorities
• High school diploma or equivalent required
