Help prepare job folders, permits, work orders, and closeout documentation
Relay accurate information between departments
Maintain organized digital and physical job files
Answer production-related calls and emails professionally
Help maintain compliance with company policies and jobsite requirements
Assist with tracking required documentation including permits and inspections
Assist with entering data into internal systems
Assist Production Managers and Project Managers with daily job coordination
Help resolve material shortages or delivery issues
Verify material quantities against job requirements
Support safety initiatives by ensuring required forms and checklists are completed
Assist with material ordering, tracking, and delivery coordination
Communicate with suppliers and vendors as directed
Support scheduling of crews, deliveries, inspections, and subcontractors
Track job progress and assist with updating project statuses
Escalate issues to appropriate leadership when necessary
Serve as a point of contact between office staff, field crews, and vendors as needed
Support production reporting and internal audits
Collect and organize photos, invoices, delivery tickets, and inspection reports

Construction, roofing, or production support experience preferred
Proficient in Microsoft Office (Outlook, Excel, Word)
Ability to sit, stand, and work at a computer for extended periods
Strong organizational and time-management skills

Occasional lifting of up to 25 lbs
Exposure to active construction environments when visiting job sites
Primarily office-based with occasional jobsite visits
Attention to detail and ability to manage multiple priorities
High school diploma or equivalent required
