The HVAC Customer Resource Coordinator works under the Area Resource Manager, handling customer service calls, scheduling technicians, and ensuring preventative maintenance aligns with forecasting goals. This onsite role involves daily debriefs, coordination with the Service Team Manager, performance analysis, and collaboration with billing and support coordinators to move jobs through the business process.
- Receive and schedule customer service calls for HVAC projects.
- Manage daily technician and mechanic schedules to meet maintenance goals.
- Coordinate labor assignments to match customer needs and service requirements.
- Communicate service plans and expectations directly to customers.
- Conduct daily debriefs with technicians to resolve concerns quickly.
- Partner with the Service Team Manager to ensure timely technical service completion.
- Analyze technician performance and adjust schedules to improve customer satisfaction cost‑effectively.
- Collaborate with Customer Billing and Support Coordinators to progress completed jobs.
- Maintain up‑to‑date customer account information in the NxGen system.
- Ensure on‑time scheduled service visits and manage parts ordering and purchase orders.
- Provide start‑up support, confirm customer purchase orders, and handle work‑in‑progress management.
- Reconcile exceptions such as service incident reports and accounts payable.
- Participate in weekly planning and scheduling meetings.
- Assist in monitoring and submitting time and expense reports for technicians.
- Review and correct unassociated time entries on technician timesheets.

Candidates must have at least a high school diploma, strong organizational and interpersonal skills, and the ability to manage multiple projects with financial awareness. Preferred qualifications include two to five years of service industry or scheduling experience, an associate degree, and basic project accounting knowledge. The hourly rate ranges from $29.33 to $37.98, based on education, experience, and market data.
