The Marketing Operations Coordinator plays a key role in supporting data cleanliness, information gathering, system integration, and processes that drive Timberline's marketing, business development, and communication efforts. This role ensures smooth execution of marketing initiatives, accurate and organized data, and consistent delivery of high‑quality collateral across all channels.
The coordinator manages marketing data and systems, coordinates workflows, handles content operations, supports digital marketing and website updates, oversees photography and project promotion, and assists with event logistics and reporting.
- Maintain clean, accurate marketing data, including project descriptions, staff resumes, and collateral libraries.
- Update HubSpot with RFP entries, team information, project details, deliverable tracking, email/web insights, and manage contact lists.
- Organize and digitize marketing information, enforce version control and naming conventions across shared drives and asset libraries.
- Support user access, templates, and file structure for the marketing drive.
- Implement software integrations to streamline information across the organization.
- Use Trello to track status of marketing projects and deliverables.
- Coordinate proposal development, schedule kick‑off meetings, prepare materials, and assemble final submissions.
- Prepare interview presentations and meeting collateral.
- Document and refine internal processes for content production, event preparation, and recurring communications.
- Develop and update project sheets, staff resumes, and brochures.
- Maintain branded templates for proposals, presentations, social media, ads, and signage.
- Save new business content related to proposals and presentations.
- Support internal communications, including newsletters and social share emails.
- Organize, edit, and size photography and video assets for marketing use.
- Plan, schedule, and manage social media posts using Sprout.
- Assist in creating video‑forward content such as project progress clips and short‑form posts.
- Update website content, including project pages, staff updates, and blog/news posts.
- Maintain and monitor template libraries.
- Manage headshot scheduling and photo session logistics.
- Coordinate completed project photography with internal staff or professional partners.
- Conduct site visits to capture photo and video updates for marketing needs.
- Maintain organized photography archives for easy retrieval.
- Coordinate logistics for industry events and tradeshows, including vendor communication and marketing material preparation.
- Support company events by managing guest lists, tracking attendance, and assisting with onsite setup.
- Conduct post‑event surveys and compile feedback for internal reporting.

Candidates need 2‑3 years of experience in marketing coordination, operations, project management, or digital communications, strong attention to detail, excellent organizational skills, and a proactive, action‑oriented mindset. Preferred qualifications include experience with HubSpot, advanced Excel, WordPress/HTML, Adobe Creative Cloud, Sprout, basic photography/video, and supporting proposals or RFP processes.
- 2–3 years experience in marketing coordination, operations, project management, or digital communications.
- Strong attention to detail with proofreading and quality‑control skills.
- Highly organized with ability to manage multiple priorities and maintain structured file systems.
- Proactive and action‑oriented, anticipating needs and initiating tasks.
- Experience with project management tools like Trello and quick adoption of new technologies.
- Preferred: experience with HubSpot CRM, advanced Excel, WordPress/HTML, Adobe Creative Cloud, Sprout, basic photography/video, and proposal/RFP support.
