• Review of terms and to be in line with policy and quotation and any discrepancy escalated and resolved.
• Resolution of receipt quality issues (e.g., packing damage, claims)
• Coordinate with freight forwarders to ensure proper documentation and timely transport.
• Manage/coordinate transportation logistics, ensuring timely communication of key milestones such as
• Confirm order acceptance with suppliers and verify plant receipt against delivery documentation.
• Schedule and track inspections in coordination with suppliers and internal stakeholders.
• Verify all shipment requirements are met before release:
• Monitor PO status and ensure timely release to suppliers.
• Delivery tracking and confirmation
• Track and report on supplier performance, proactively addressing delays and escalating critical issues to the Manager.
• Review and verify requisition details including quote validity, pricing, and CAPEX approval status.
• Expedite delivery of critical or urgently needed materials.
• Maintain consistent communication with suppliers for order updates, inspection readiness, and shipment schedules.
• Create, modify, and manage POs in accordance with CAPEX instructions and internal approval workflows.

Requirements

Virginia Transformer is seeking an experienced and detail-driven CAPEX Buyer/Expeditor to manage purchasing activities for capital equipment and major projects across our manufacturing facilities. This role is responsible for processing requisitions, generating and managing purchase orders (POs), coordinating with suppliers, and ensuring timely delivery of materials and equipment. The ideal candidate will have a strong background in manufacturing procurement, with excellent communication and organizational skills.

• Strong written and verbal communication abilities.
• Associate’s or bachelor’s degree preferred; supply chain or business-related field is a plus.
• Required invoices (proforma, commercial, etc.)
• 3+ years of purchasing or procurement experience in a manufacturing environment required.
• Detail-oriented with excellent follow-up and coordination skills.
• Strong knowledge of procurement processes, supply chain logistics, and vendor communication.
• Proficient in Microsoft Office, especially Excel; experience with ERP systems is preferred.
• Accurate packing slips and shipping documents
