Executive Administrative Support Specialist
Black & Veatch
Global engineering, procurement, consulting and construction firm shaping water, energy & infrastructure projects.
Provides executive admin support to the CEO Chief of Staff, emphasizing automation.
Managing calendars, meetings, travel arrangements, and international documentation
Screening and responding to communications on behalf of executives
Meeting scheduling and follow-ups
Identifying and implementing AI tools to automate repetitive tasks such as:
Document generation and formatting
Meeting scheduling and follow-ups
Email triage and response drafting
Data entry and report generation
Document generation and formatting
Preparing reports, presentations, and comms aligned with executive tone and priorities
Supporting policy development and internal communications
Acting as a delegate in assigned areas and serving as a backup to the CEO Executive Admin

Minimum of 3-5 years of experience in an administrative or executive support role

High level of professionalism and confidentiality.
Normal office environment. Extended periods of monitor viewing. Stooping, crouching, talking, grasping, hearing, keyboard input, turning pages, typing and writing. Ability to exert up to 10 pounds of force occasionally or a negligible amount of force frequently or constantly to lift, carry, push, pull, or move objects. Work involves sitting for extended periods of time.
Ability to create slide decks and executive presentations in Powerpoint or Word.
Flexibility and adaptability to respond to changing demands and priorities.
Bachelor’s degree in Business Administration or a related field preferred.
Proven experience in an administrative or executive support role, preferably within a fast-paced or HR environment.
