The Project Accountant is fully responsible for project set-up and the billing process, including responding to client and internal inquiries and verifying employees’ chargeable time. The role supports the collections team in achieving its objectives and reports directly to the Director of Finance, involving a variety of business functions.
Key duties include setting up new projects with approved budgets and billing terms, maintaining accurate billing folders with source documents and invoices, and preparing and reviewing monthly invoices using Electronic Invoicing software. The accountant also coordinates sub-consultant billing, communicates financial status and contract changes to project managers and principals, identifies opportunities to maximize client billing, resolves unbilled issues, collaborates with Accounting on cash application, and prepares special project analyses and year-end audit support.
Qualifications require a bachelor’s degree in Accounting or Finance, at least four years of billing and receivables experience—preferably in an architecture/engineering or construction environment—and demonstrated project accounting and cost-tracking skills. Candidates must have intermediate to advanced proficiency with word processing, spreadsheets, and accounting software, understand standard contract terms, and possess strong communication, business partnering, and problem-solving abilities. A team-first mindset, independent initiative, and experience with Deltek software are also valued.
