Marketing Proposal Coordinator

Description

• Maintain a library of primary resumes, boilerplate content, and up-to-date project descriptions.
• Ensure proposals align with client instructions, formatting standards, and internal style/brand guidelines, while strategically showcasing the firm’s strengths and demonstrating a clear understanding of project scope and client needs.
• Lead the development of proposals, presentations, and marketing collateral in response to RFP/Qs and business opportunities.
• Support business development activities, including capture planning, client feedback management, and CRM updates.
• Collaborate with technical teams and subject-matter experts to gather, structure, and refine compelling content that supports a clear narrative and winning proposal theme.
• Develop, edit, and refine persuasive written sections—executive summaries, technical approaches, staffing plans, and past-performance narratives—ensuring clarity, consistency, and alignment with brand voice and messaging.
• Collaborate with Client Managers to prepare prequalification applications and maintain firm registrations.
• Lead or participate in post-submission debriefs to document lessons learned, implement process improvements, and share insights that enhance proposal efficiency, quality, and consistency.
• Coordinate with the graphics team to provide clear direction and context, ensuring visuals reinforce technical narratives.
• Coach and support technical staff in preparing presentations and interviews, including the development of supporting materials and event collateral.
• Plan and manage proposal schedules and review cycles by assigning tasks, setting milestones, tracking progress, gathering stakeholder feedback, maintaining version control, and producing fully quality-checked materials.

Requirements

• Bachelor’s degree in Marketing, Communications, English, or Business.
• Familiarity with Adobe Creative Suite (InDesign).
• Strong initiative, ability to work independently with minimal supervision, and to lead collaboratively within a team.
• Proficiency in MS365 (PowerPoint, Excel, Word, and Outlook)
• 2+ years of proposal coordination or marketing experience in the AEC industry required.
• Positive attitude and grace under pressure; constructive in receiving and providing feedback.
• Proven ability to manage multiple concurrent proposals with shifting priorities.
• Excellent time management, organizational, and problem-solving skills.
• Familiarity with Deltek Vision/VantagePoint or similar.
