The Project Coordinator supports planning, organization, and administration of construction inspection projects, aligning work with client requirements such as PennDOT and municipal agencies. This role assists Project Managers and field inspection teams by coordinating schedules, documentation, communication, and project controls, helping maintain scope, inspection schedules, budget tracking, and compliance documentation for successful delivery and client satisfaction.
- Develop and maintain accurate, organized construction inspection project plans compliant with standards.
- Coordinate communication among Project Managers, inspectors, contractors, and client representatives.
- Assist with project initiation, planning, execution, monitoring, and closeout for inspection workflows.
- Track project scope and document changes to staffing, field conditions, and client directives.
- Maintain detailed inspection schedules, update milestones, and monitor progress.
- Support cost tracking and financial reporting, including inspector hours and client billing.
- Collect and organize field data for cost control, staffing efficiency, and performance metrics.
- Assist contract administration by preparing documentation and coordinating subcontracted inspection personnel.
- Maintain quality and compliance documentation such as daily reports and material certifications.
- Help prepare for audits, track findings, and support corrective actions.
- Coordinate with discipline leads for inspector scheduling and resource allocation.
- Prepare and distribute meeting agendas, minutes, field updates, and status summaries.
- Draft project status reports summarizing progress, risks, staffing, and issues.
- Support risk management by maintaining risk logs and tracking mitigation actions.
- Assist procurement of field supplies, safety equipment, and subcontracted services.
- Maintain positive client relationships through timely communication and professionalism.
- Support team development by sharing information and assisting new staff.
- Stay informed on construction inspection practices and agency requirements.

A bachelor’s degree in architecture, engineering, construction management, business administration, or a related field and at least one year of relevant experience—preferably in construction inspection, transportation projects, or A/E support—is required. CAPM certification or project‑management training is preferred, and familiarity with DOT inspection processes is a plus.
- Proficient in Microsoft Office; familiarity with ECMS, PennDOT systems, or scheduling tools (MS Project/Primavera) is a plus.
- Strong organizational and time‑management skills, able to handle multiple tasks and deadlines.
- Effective oral and written communication; capable of independent and collaborative work.
- Ability to interact professionally with clients, contractors, and inspection personnel.
