Document Control Technician II

Description

• Participation in project meetings, as necessary.
• Support for project teams in organizing workflows and approvals.
• May be assigned training duties to train new staff on document controls procedures.
• Assist the Project Manager, the Construction Manager, and the Project Team in all matters relative to project records and the control and distribution of documents in PMWeb.
• The control, scanning, indexing, linking, hardcopy filing and distribution of documents in PMWeb. This includes internal records of the Airports Development Group (ADG), and those processed with external entities such as City Agencies, consultants, and contractors. Manage flow of records to project participants distribution, including correspondence, technical submittals, project reports, Requests for Information, and contract plans and specifications.
• May be designated as a lead Document Control Technician on a project or element.
• Prepare transmittals, distribute documents using PMWeb, and retrieve documents through PMWeb software.

Requirements

• Must be sensitive to time deadlines, ensure that work is accomplished in the time frames required, and must be flexible and able to readily adapt to changing priorities.
• Maybe required to work various shifts as needed
• Demonstrate proficiency with Microsoft Office suite of software products, Ex. Excel, Word, etc.
• Experience with large-scale Document Control Software is preferred, PMWeb and/or Documentum highly desirable.
• Effective oral and written communication skills.
• Must be able to occasionally wrap, lift, and move boxes/packages of up to 40-pounds
• Certification for document control professionals highly desirable
• Previous experience managing a Document Control effort for a large-scale ($25M+), construction project or program required. Experience in a large-scale, billion-dollar public-sector construction program highly desirable.
• Must be detail oriented and highly organized
• Two-year technical degree
• 5-10 years' experience with document processing and data management. Document processing experience at large international airports preferred
• Mastery of Microsoft Office Suite and Adobe Acrobat Professional required
• Experience with Microsoft Office Suite and Adobe Acrobat is required.
• Proven accuracy, reliability, and completeness in job accomplishment. Demonstrated success on the job, as evidenced by satisfactory performance, acceptance of responsibility, and growth in previous positions.
• Must have a self-starter attitude with proactive, results-oriented focus; and willing and capable to assume additional responsibilities.
• Demonstrated experience with routine Document Control hardware and software, such as scanners, optical character recognition.
• Must be highly organized and detail oriented.
• Must possess a "can-do” attitude: able to produce consistently accurate results at a fast pace.
• Previous experience in a construction environment is highly desirable.
• Must be able to interface with a variety of people with different technical levels and educational backgrounds; must be detail-oriented and highly organized; and must be able to produce accurate and timely results while maintaining a positive customer-service attitude.
