Accounting and Operations Associate

Position Summary: The Accounting and Operations Associate provides essential support across the accounting and operations functions of the company. This position handles daily financial transactions, including accounts payable (AP), accounts receivable (AR), bank reconciliations, while also assisting with internal operational processes, documentation, reporting, and administrative coordination.

• Process daily accounts payable and ensure timely payment of vendor invoices
• Provide backup support for reception and general office tasks
• Assist with administrative tasks including scheduling, internal communications, and document preparation
• Support month-end close by organizing documentation, reconciling accounts, and flagging outstanding items
• Maintain and organize office supply inventory and procurement
• Coordinate with internal departments to ensure smooth workflow and communication
• Record and reconcile daily bank transactions, including deposits, transfers, and checks
• Generate weekly and monthly reports on AP, AR, and operational KPIs
• Maintain financial records in accounting software and file management systems (digital and physical)
• Generate and send invoices and apply client payments
• Assist with implementation and adherence to internal policies and procedures
• Help maintain compliance with company and regulatory requirements (e.g., W-9s, insurance certs, contracts)
• Complete daily project status updates to project logs
• Assist with preparation of financial reports and data entry for dashboards or forecasts

• Experience answering phones and greeting clients
• Associate’s degree in accounting, Business Administration, or a related field preferred: equivalent relevant experience will be considered
• Experience in the engineering, construction, or architectural industry
• Strong attention to detail, organizational, and problem-solving skills
• Excellent communication and time management abilities
• Ability to handle confidential information with integrity
• 2+ years of experience in a similar accounting or administrative role
• Comfortable working independently and as part of a collaborative team
• Proficiency in QuickBooks or similar accounting software, and Microsoft Excel
