Closeout Coordinator/Bookkeeper

Description

• Oversee and manage the project closeout process for commercial construction projects, ensuring all deliverables are met and completed on time.
• Meet internal and external close-out submission deadlines.
• Communicate professionally with clients, vendors, subcontractors, and internal staff.
• Provide general administrative office support as required.
• Coordinate with project managers and coordinators with client turnover packages and final deliverables.
• Reconcile vendor statements and resolve discrepancies.
• Maintain accurate job cost files ensuring all transactions are properly coded.
• Detail-oriented and thorough: Ensures accuracy in documents and financial entries.
• Assist with lien releases and waivers
• Process accounts receivable: prepare invoices, submit billing packages, and follow up on payments.
• Prepare, collect, and organize all project final lien waivers.
• Team collaboration: Works closely with PMs, coordinators and accounting.
• Upload or manage documents within project management software (e.g., Procore, Levelset.)
• Track outstanding final lien waivers from subcontractors and vendors; follow up to ensure timely submission.

Stansell is seeking a talented Closeout Coordinator/Bookkeeper in the Odessa/Tampa region to join our team!

• Excellent written and verbal communication skills.
• Prior experience in bookkeeping within the construction industry.
• Professional communication: Clear, courteous communication with clients and subcontractors.
• Ability to manage multiple deadlines and work in a fast-paced environment.
• Proficiency with accounting software (Sage Inacct, Sage Paperless a plus)
• Time and task management: Able to prioritize multiple projects simultaneously.
• Experience in construction administration, construction accounting, or general contracting operations.
• Experience with project management platforms (Procore)
• Knowledge of lien waivers, billing formats (AIA), and construction documentation.
• Strong organizational skills with attention to detail.
• Problem-solving: Resolves discrepancies and drives deliverables to completion.
