There may be occasions where you will be required to cover reception at other local sites with reasonable advance notice.
In your new role as Receptionist, you will deliver administration support by providing a high spec, tailored service to the client and Robertson FM Facilities Managers or Contract Managers. Your key responsibilities include:
- Handover of shifts to night shift Security Guards ensuring all information is passed accurately.
- Run reports as directed to provide information to RFM Management and Client contacts. Ensure re-confirmations are undertaken to minimise room wastage.

- Ensure authorised access only by following security procedures and by processing the relevant Authority to Work and Visitor Form requirements.

- Maintain a record in Reception and Security logbooks for future reference, including directly onto the Client’s software.
- Receive incoming telephone calls and small deliveries. Direct these as appropriate.
- Welcome visitors to the premises, provide information and directions, contacting Client staff as necessary.
- Follow the NHSBSA Room Booking Policy and other procedures to make bookings on behalf of the client.
- Logging Helpdesk requests
- Issue security passes and visitor passes in line with security procedures. Ensure visitor passes are returned.

To be successful in your application, you will have previous work experience in a similar role, and an ability to communicate effectively in a variety of written and verbal formats with a wide range of people. You will have good knowledge of telephone switchboard systems, plus strong IT skills and able to learn new software.
