The Mechanical Project Engineer serves as the technical backbone for construction projects, handling planning, coordination, and execution. Responsibilities include reviewing drawings, managing RFIs, supporting submittals, procurement, and quality control to ensure precise system design and delivery.
The engineer works closely with Project Managers, Superintendents, and field teams to solve technical challenges, coordinate with design teams, and keep projects on schedule and within budget. The position involves maintenance and administration functions essential for project completion, including processing submittals, expediting deliveries, generating documentation, preparing close‑out records, assisting with budgets, billings, change estimates, and coordinating with owners, architects, contractors, and internal departments.
- Manage contractual agreements with owners, contractors, subcontractors, suppliers, and field staff.
- Maintain up‑to‑date corporate documentation such as time cards, daily reports, and as‑built drawings.
- Negotiate terms, conditions, and scope of work for contracts and estimate bid proposals.
- Prepare and distribute the initial project budget.
- Coordinate and attend in‑house pre‑construction meetings.
- Obtain and keep current all required permits and licenses.
- Oversee timely material and equipment buy‑outs within budget, collaborating with the superintendent and purchasing.
- Ensure superintendent’s take‑offs are complete, accurate, and on schedule.
- Procure, negotiate, and issue lower‑tier subcontracts in compliance with contract documents and budget.
- Lead the project submittal approval process.
- Process shop drawings, product submittals, O&M manuals, and record as‑built drawings promptly.
- Administer signed subcontract requirements, ensuring conformance and managing change orders.
- Assist in developing and finalizing the mechanical construction CPM schedule with superintendent input.
- Coordinate ordering, processing, and delivery of materials and equipment with vendors.
- Manage communications and correspondence with owners, general contractors, and subcontractors.
- Review reports (including police reports) for completeness and forward to finance leadership.
- Enforce project quality‑control procedures per contract documents and company policies.
- Process change‑order requests (CORs) according to proper procedures and inform the superintendent.
- Ensure change orders (COs) are documented and processed on time.
- Track take‑off orders, procurement, and release of change‑order items with purchasing and superintendent.
- Initiate, oversee, and verify billing processes.
- Confirm all invoiced materials and work are delivered or completed on site.
- Review and monitor labor costs, hours, and projections with the superintendent.
- Provide monthly and quarterly cost forecasts, extra‑work totals, unbilled performance, and claim updates to management.
- Assist with legal claim preparation as needed.
- Manage efficient project close‑out and keep leadership informed of status.
- Monitor compliance with safety program requirements on the craft level.
- Support the safety manager in preparing, documenting, and distributing accident reports.
- Help resolve conflicts with clients, architects/engineers, and other parties.
