Reporting directly to the Community Development Manager, this role provides high-level administrative and executive support to the Community Development team and the Manager. The successful candidate will leverage established AI tools and processes to generate, refine, and deliver high-quality documents and content generation (internal and External), powering up the team’s productivity.
- Facilitate communication and information flow between the Manager, team, and external stakeholders, ensuring clarity and timeliness.
- Maintain and continuously improve the team’s AI-driven workflows, refining best practices and deploying new efficiencies as the technology and system evolves.
- Coordinate closely with the Manager to anticipate needs of the CD team.
- Stay engaged with all facets of the Community Development portfolio, demonstrating curiosity and initiative to learn and contribute across project types.
- Act as a quasi-Librarian in organizing and curating knowledge and project information within our project structure to further leverage AI for cataloguing and retrieval of our professional staff.
- Act as the team’s AI content specialist receiving information and requests from team members and professionals.
- Serve as the primary administrative and executive assistant to the Community Development Manager, supporting content creating of the professional team, communications, and priority tasks.
- Plug in to the teams current AI workflows and information management system ready to learn and be curious about how it all integrates.
- Develop standard operating procedures using pre-made tools that involve content generation, QA/QC of generated documents and information management.
- Train and support new team members in the CD specific task management, information processing and process for content creation workflow automation.
- Represent Community Development as a Champion across the organization liaising with the Technology and Innovation group and other sectors.
- Utilize AI systems to draft, edit, and finalize documents, reports, memos, and presentations.

- Hands-on experience with AI-powered productivity tools and a demonstrated interest in technology-driven process improvement.
- Strong written and verbal communication skills; able to synthesize input from multiple sources into clear ie: transcriptions, professional documents.
- Excellent collaboration and stakeholder engagement skills; able to translate technical concepts for non-technical teams.
- Curious mindset with a strong desire to learn and leverage emerging tools.
- Post-secondary education in business administration, communications, or a related field. A combination of relevant experience and education may be considered.
- Comfortable working in a fast-paced, multidisciplinary environment and adapting to evolving priorities.
- Direct experience and/or familiarity with Copilot, Copilot Notebook, Microsoft 365 is preferred.
- Experience in generating written content for proposals.
- Direct experience creating productivity and workflow efficiency tools using Copilot Notebook, ChatGPT, Microsoft 365 AI or comparable.
- Demonstrated experience in building and maintaining project information libraries.
- Three years of experience in optimizing administrative or project workflows using AI or other technology for increased productivity and efficiency.
- Ability to generate content based on transcription to generate documents/report/change forms quickly and accurately.
- Prior experience ideally within a professional services or engineering environment.
- Continuous learning mindset with the ability to stay current on emerging technologies and recommend innovative solutions.
