Administrator, Processing Facilities

Description

Under direction from the Operations Manager, the Operations Administrator is responsible primarily for the testing, successful implementation and continued development of the Waste Receiving Module within our proprietary operations software (OMS 3.0). Secondary duties are to act as backup and support for other administrator roles currently in place at the facility.

• Develop an understanding the GFL Pickering ECA, TDG and Reg. 347 and how they apply to day to day operations
• Develop an understanding of laboratory analytical data and how it determines final destination points for day-to-day incoming waste streams
• Emphasize the entry, accuracy, maintenance and management of the online database
• Document the receiving of incoming waste from manifests, bills of lading and work orders within OMS
• Work closely with Dispatch, Laboratory and Operations to verify incoming waste inventories
• Enter data for completed laboratory analytical results linking to manifests, bills of lading and work orders in a timely manner
• Collaborate with Laboratory and Operations to manage waste documentation/classification on hold process
• Complete document/waste receiving process in OMS, attaching scanned documents and preparing files for billing review
• Track on‑site waste inventory with Operations concerning processing
• Track on‑site waste inventory and document preparation with Dispatch and Operations for outgoing shipments
• Work with the IT development team to integrate modules into daily operations
• Prepare waste diversion and related reports for customers upon request
• Provide OMS receiving support to other GFL locations, including assignments as needed
• Resolve problems independently within scope of authority and know when to escalates

Requirements

• Develop an understanding of day-to-day operations, as well as knowledge of all internal processes and inventory movements
• Demonstrate desire and motivation to gain industry knowledge across multiple facets of waste management
• Proficient in Microsoft Office, especially Excel, Word, PowerPoint, and Outlook
• Hold a diploma in office administration or related disciplines
• Prefer candidates with familiarity or experience in chemistry, waste management, environmental science, or related fields
• Maintain a minimum typing speed of 60 WPM
• Exhibit strong interpersonal skills and ability to foster professional relationships
• Capable of empathetic listening and conflict resolution in a fast‑paced, high‑volume environment
• Excellent oral and written communication skills in English
• Able to work without supervision
• Willing to work overtime, alternate shifts, and occasional weekends
