The Executive Facilities – Soft Service Business Unit (IFM) reports to the Facility Manager/AFM/Site Lead and oversees a team that includes one HK Supervisor and pantry/help‑desk staff. Key stakeholders are the Site Lead, FE Tech, Supervisors, and the Client Lead, while direct reports manage daily soft‑service operations.
The role is based on‑site in Bengaluru, Karnataka, with a scheduled 48‑hour work week. It involves coordinating soft‑service activities, maintaining vendor compliance, and ensuring all FM supplies and reporting procedures meet JLL standards.
Performance objectives focus on end‑user satisfaction, accurate FM reporting, and continuous improvement of housekeeping, front‑office, mailroom, and help‑desk services. The incumbent must also support administrative tasks, manage vendor invoices, and drive new initiatives and savings for the location.
- Oversee helpdesk service requests and ensure they are attended
- Provide management advice to helpdesk operators for escalated issues
- Ensure immediate response to priority calls
- Plan and execute conference, meeting, and VIP visit preparations
- Oversee mailroom processes and address escalations to maintain user satisfaction

- Oversee front office operations and guide team on deliverables
- Ensure visitors are promptly attended by front office executives
- Conduct front office and lobby rounds to maintain high housekeeping standards
- Ensure newspapers and magazines are placed in the reception area as needed
- Oversee housekeeping services to meet standards and satisfaction levels
- Muster housekeeping staff each shift and communicate daily priorities
- Inspect staff turnout and attendance
- Meet with housekeeping in‑charge during shifts to discuss priorities and complaints
- Maintain indoor plant upkeep and take corrective actions when required
- Monitor pantry and reprographic equipment operations, identifying and addressing issues
- Communicate significant incidents and operational issues to the Facility Manager for guidance
- Perform regular facility rounds to identify and rectify issues in housekeeping, security, and cafeteria
- Prepare weekly shift rosters for housekeeping services with the Facility Manager
- Brief rosters to the team to ensure clear understanding of deliverables
- Process vendor bills for the location using the standard JLL template
- Coordinate FM supplies for the location with central resources
- Ensure timely availability of all FM‑related supplies on site
- Adhere to JLL reporting procedures and standards
- Follow standard processes for managing all FM requirements at the location
- Ensure vendor compliance audits are completed and records maintained
- Schedule activities with coordination across all stakeholders
- Act as a team player and drive ground‑level staff to achieve desired outcomes
