Payroll Specialist

Description

In this newly created role, the Payroll Specialist will handle day‑to‑day processing and administration of multi‑state payroll, working closely with the Human Resources team to ensure accurate, timely payroll in compliance with federal, state, and local regulations, while also supporting payroll reporting and tax activities and serving as a point of contact for employee payroll questions.

• Process bi‑weekly, multi‑state payroll accurately and timely.
• Maintain payroll data in ADP and NetSuite for hires, terminations, job changes, benefits deductions, and compensation updates.
• Reconcile payroll reports before processing and conduct post‑payroll reviews to validate accuracy.
• Create payroll journal entries and support payroll and benefit account reconciliations.
• Perform payroll system audits, data integrity checks, and drive process improvements within ADP and NetSuite.
• Support payroll tax activities, including tax reconciliations, responding to agency notices, and setting up new state and local tax jurisdictions.
• Coordinate timely payroll tax filings and payments, maintaining organized documentation.
• Prepare quarterly and year‑end filings such as Forms 941, W‑2, W‑3, and applicable state and local reports.
• Respond to employee and manager inquiries regarding pay, deductions, tax forms, and payroll processes.
• Handle garnishments, off‑cycle payrolls, manual checks, and payroll adjustments as needed.
• Compile payroll documentation for internal and external audits (financial, tax, workers’ compensation).
• Generate payroll reports for 401(k) contributions, benefit deductions, accruals, and management reporting.
• Document payroll procedures and maintain files and internal controls per company policies.

Requirements

The position includes an Export Control Notice: certain roles may require access to information subject to Export Administration Regulations and may limit consideration of foreign nationals from countries not on the DOE’s Generally Authorized Destinations List.

• 3–5 years of multi‑state payroll processing or support experience.
• Hands‑on experience with ADP and an ERP system (preferably NetSuite).
• Exposure to payroll tax processes, including reconciliations and new jurisdiction setups.
• Strong understanding of payroll best practices and wage‑and‑hour compliance.
• Excellent attention to detail and strong organizational/time‑management skills.
• Ability to handle confidential information with discretion.
• Clear written and verbal communication skills.
• Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
• ID theft protection and credit monitoring.
