Project Administrator

Description

• Assist the project manager and/or build team assemble deliverables for project close out (as builds, permit files, compliance letters/certifications, warranty, and maintenance binder/program, etc.)
• Assist the project manager and/or build team review project documents for accuracy, completeness, and familiarity
• Assist the project manager in overseeing project team daily for build out
• Assist the project manager with project administrative duties such as subcontractor management, schedule tracking, bidding, budget tracking, AP/AR activities specific to the project, preparation of change orders and execution of same, prepare and distribute project progress reports, prepare and distribute project meeting agendas/directives/minutes, etc.
• Assist the project manager qualify subcontractor and/or vendors proposals to ensure accuracy and completeness
• Assist the project manager and/or build team in assembling and preparing samples and distribute submittal packages.
• Assist the project manager perform in house take off’s
• Assist the project manager with project preparation and start up
• Assist the project manager create and distribute RFI’S as needed
• Assist the project manager in the preparation of subcontracts
• Assist the project manager in the preparation of project proposals (budget spreadsheets, scope qualifications, schedule, project specific documents for presentation, etc.)
• Assist the project manager prepare / distribute / track RFP’s

Requirements

• Excellent oral and written communication
• Computer literacy with Microsoft Office, Vista, and FMP
• 5+ years of progressively responsible administrative experience required
• A High School diploma, GED, or equivalent required.
• A strong working knowledge of construction methods and practices
• Adaptable to fast paced work environment with repetitive projects and changing priorities
• The ability to interpret construction documents (plans, specifications, contracts)
• Reliable Transportation
• Strong written and oral communication skills
• Must be able to provide proper documentation that you have the legal right to work in the United States.
• Works well both independently and in a team environment
• Advanced Microsoft Office 365 skills, with an ability to become familiar with company-specific programs and software specifically Vista and FMP.
• High attention to detail and problem-solving skills
• Friendly and professional demeanor
• Strong work ethic with high level of integrity
• Maintain a neat and professional appearance and demeanor
• Ability to take direction, meet timelines, and impeccable multi-tasking abilities
